Are you renting your hoist or bring it with you? If renting, you may want to get the rental company to contact the hotel since it would be bad for them too if it doesn’t work out! Having the rental company explain, or possibly visit in advance could help.
Kyoto is much smaller and very focused on tourism so have such services but Osaka is more of a business city with less of a central tourism plan and don’t have as many services so you’ll likely need to rent.

I’m not sure if there is a specific site, but once you get the train name from Google Maps for your route, usually searching for something like “nozomi seating chart” etc often brings it up. Even better is to use the Japanese for seating chart, 座å¸è¡¨. If you get stuck, you can ask us here too 🙂
